FORMS MANAGEMENT: Reinvent, Digitize and Save

Even though a revolution in forms management call PRINT ON DEMAND is upon us, very few healthcare organizations are even considering streamlining, reinventing and controlling the thousands of forms that they purchase annually by using it. This revolution will dramatically improve your forms management and effectively control and manage all short-run printing at your healthcare organization.  Most MMs believe that forms management means planning, organizing and controlling the carbon-interleaved, continuous, or unit-set forms they purchase in high volumes, which represent only 7% of the total forms purchased at any healthcare organization. However, single sheet flat forms, represent 93% of all forms that are printed internally on high-speed copiers or purchased from numerous printing sources.  This is where the opportunity is to digitize and save 20% to 40% on these purchases.

It all starts with the development of a digitized e-forms catalog of your single sheet flat forms.  This will allow both your customers and you to have an electronic library of all of your flat forms, view them, manage them, and print them on demand when you need them on local PCs, copiers or high-speed printers or outsource this function to a demand-printer.  You can also make inquiries into how much is being spent, why, and how this category of forms can be improved upon.  Most organizations that have gone to printing on demand have migrated up to 70% of their warehoused forms to print on demand status.

To give a real world example of the savings power of this new on-demand technology, one of our IDN client’s (a five hospital system) total forms cost per adjusted patient day is $.92 after embracing this new technology Vs $1.26 for the average hospital or system we have worked with who are still chasing these dollars the hard way.  This is a 30% savings in direct cost alone!  This savings doesn’t factor in all of the hidden cost that have been avoided by this IDN due to forms obsolescence, duplication, storage, and distribution.
